This Privacy Policy explains what LogiKore collects through the logikore.com website and the VenueKore platform, how it is used, and the choices you have. It applies to website visitors, to the venues that run a VenueKore instance ("Customers"), to their staff ("Users"), and to the venue's own clients whose details a Customer records in its instance.
1. Information we collect
Depending on how you interact with us:
- Website: contact-form submissions (name, email, phone, message) and standard server logs (IP address, browser, pages visited).
- VenueKore Users: name, work email, phone, role, sign-in activity, two-factor and passkey enrollment data, and the actions taken in the instance (audit trail).
- Venue clients: the booking details a Customer enters — names, phone numbers, email addresses, event dates, deposits, notes and communications history. The Customer controls this data; LogiKore processes it on the Customer's behalf.
- Connected accounts: the identifiers and tokens needed to keep a third-party connection working (see section 3).
2. How we use information
We use information to operate the website and the platform, to send the messages a Customer initiates (confirmations, reminders, receipts, staff notices), to secure accounts, to provide support, to comply with legal obligations, and to improve the service. We do not sell personal information and we do not use Customer or client data for advertising.
3. Connected Microsoft, Google and other accounts
A Customer may connect a mailbox so its instance can send email from that address. For Microsoft accounts (Outlook.com, Microsoft 365) VenueKore requests the delegated permissions "Send mail as you" (Mail.Send), "Sign in and read your profile" (User.Read) and "Maintain access to data you have given it access to" (offline_access). For Google accounts the Customer supplies an app password, or, where offered, grants the equivalent send-only permission.
VenueKore uses these permissions solely to send messages initiated by the Customer or its Users and to display which mailbox is connected. VenueKore does not read, search, list or store the contents of the connected mailbox, its contacts or calendar. Access and refresh tokens are stored encrypted at rest and are used only to send mail. The Customer can revoke access at any time from the instance's email settings or from the provider's account security page, after which the stored token is deleted.
VenueKore's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Other integrations (Clover POS, WhatsApp Business, DocuSeal, Google Calendar) work the same way: the Customer connects its own account, VenueKore uses the connection only for the feature the Customer enabled, and credentials are stored encrypted.
4. Sharing
We share information only with the service providers that host and run the platform (Microsoft Azure for hosting, database and key storage in the United States), with the third parties a Customer chooses to connect, and when required by law. Providers act under contracts that restrict them to processing on our instructions.
5. Security
VenueKore uses encrypted connections (HTTPS), encrypted storage for secrets and payment references, role-based access controlled by each Customer, two-factor authentication and passkeys, and an audit trail of changes. No system is perfectly secure; if we learn of a breach affecting your data we will notify the affected Customer without undue delay.
6. Retention
Customer and client data is retained for as long as the Customer's instance is active and for a reasonable export period afterwards, then deleted from active systems (backups roll off on their own schedule). Server logs are kept for a limited period for security and troubleshooting. Connected-account tokens are deleted when the connection is removed.
7. Your choices and rights
Users can review and update their profile inside their instance. Venue clients should direct requests to see, correct or delete their information to the venue that holds it; LogiKore will assist the Customer in fulfilling those requests. Website visitors can contact us directly at the address below to ask what we hold about them or to request deletion.
8. Children
The website and platform are intended for adults acting on behalf of a business. We do not knowingly collect personal information from children under 13.
9. Changes to this policy
We may update this policy as the platform evolves. The effective date at the top reflects the latest version; material changes are communicated to Customers.
